Running an Email Campaign in CareCloud: From Setup to Results

Email campaigns are a key part of any marketing strategy. They can significantly boost sales, strengthen customer relationships, and enhance loyalty. In this blog post, we’ll guide you step by step through the process of setting up a successful email campaign in CDP & CRM CareCloud.

INTRODUCTION

In this use case, we will focus on WildTrail Co., a fictional brand specializing in outdoor activities like camping, hiking, and mountain climbing. We will create and send an email informing customers about their loyalty program points balance.

While this is just one example, the overall process remains the same for any type of email campaign — whether it’s a promotional offer, a product launch announcement, or a personalized follow-up.

In CareCloud, the first step is to create an audience. Next, we design the email template. Finally, we combine the target audience and email template to launch the campaign.

DEFINE YOUR AUDIENCE

Since this is a campaign about loyalty programs, we need to create a target group that includes only customers in the loyalty program.

To measure your campaign’s impact, create a comparison group — a segment of customers who won’t receive the campaign. You can define this group by percentage or a specific number of customers. In Analytics & Reporting, you’ll see how your campaign performs compared to those not included.

Pro TIP: If your target group is smaller than 10,000 customers, set a comparison group as 10%, but if your target group is bigger than 10,000 customers, set a specific number of customers as 1,000.

Before you send your campaign, click the ‘Preliminary Record Count’ button to see its reach. Be patient—calculating the exact number might take some time, depending on the size of your customer database.

CREATE AN ENGAGING EMAIL TEMPLATE

Now comes the creative part: designing your email template. Since we are creating an email for a campaign, choose the Campaign Email Templates and move to the Email Designer. Here, we will show you just a few points that will help you create the perfect email.

PERSONALIZATION: THE KEY TO HIGHER ENGAGEMENT

Personalized emails have a 26% higher open rate. CareCloud offers several options in the email template, like text personalization. In our case, we used name personalization and current points balance in the loyalty program — you find both in the Basic variables option.

OPTIMIZE EMAIL DELIVERABILITY

Once your email design meets your preferences, move on to Header Creation. Here, we’ll focus on two key aspects and share two tips. First, check that you, as the sender, have domain authentication methods in place. These methods enhance your reputation and deliverability, ensuring your bulk emails pass inbox providers’ spam filters.

Pro TIP: Craft an engaging preheader text. The best practice is to keep it to 90 characters.

Next, ensure that the ‘Send to accounts without consent to marketing communication’ box is NOT checked. 

Pro TIP: Select the ‘Use template as pattern’ box to save your design for future use.

TEST BEFORE YOU SEND

Always run a test to ensure your email displays correctly. Click the Test icon, enter your email address, and add a customer account if needed. Since our email includes two personalized text elements, we configure them in the test to preview the final email.

A/B TESTING: OPTIMIZE FOR BEST RESULTS

To maximize effectiveness, duplicate your template and make small changes, such as adjusting the subject line, design, or tone of the message. In the next chapter, we will show you how to set up A/B testing.

SET UP AND LAUNCH YOUR CAMPAIGN

We are now approaching the last part of creating an email campaign, which is setting up the campaign itself. So, go to the Campaign parameters setup. Here, we will look at the most important things.

If you have multiple campaigns sent at the same time and you want this campaign to be sent first, set the campaign priority to high.

To track sales of products you have in your email campaign, click on the Promoted Products. In the Analysis & Reporting app, you will then find information about the number of customers who bought any of the promoted products, the number of purchases, and the sales revenue from the sale of each product.

Click on the A/B testing section, set the number of contacts to test, and choose the test duration — at least 1 day before the campaign starts, ideally 2-3 days. On campaign day, the system will stop testing and send the most successful template to the remaining customers. Here’s what the timing should look like:

Insert the two templates you have already prepared, and choose the metric you want to measure.
